A Mechanical-Engineering World Conference, Imported from a Link

The IFToMM International Conference on Rotor Dynamics is the four-yearly world meeting of the rotating-machinery community — turbomachinery, bearings, vibration control, condition monitoring. The 12th edition brought the community to Lahti, Finland, for five days: 138 contributions from 118 speakers, organised into 56 sessions with up to four running in parallel.

The programme lived in EasyChair. There was no export step and no API key: HEPCon imported the conference directly from its public EasyChair smart-program pages, and re-imported the same link whenever the schedule moved. The committee kept editing in EasyChair; attendees always saw the current programme.

Papers in the Pocket

Rotor-dynamics sessions are dense with technical material, and the paper-download feature became one of the most used parts of the app: each contribution carried its full paper, readable on the phone during and between sessions — no hunting through proceedings sites mid-talk.

Following Four Parallel Rooms

With four sessions running simultaneously at peak, attendees used personal schedules to plan their days and the live "what's on now" view to keep track of where the programme stood at any moment — the two features the organising committee singled out, alongside paper downloads, as the ones their attendees leaned on most.

What the Organisers Reported Afterwards

The post-event feedback from the organising committee was the kind every platform hopes for: no issues reported during the event, and attendees telling conference staff that the app helped them plan their schedules well. The committee's suggestions afterwards were product ideas for the next edition, not fixes.
