The Attendee App for Your Confex Society Meeting
Confex carries your society from abstracts to a scheduled programme. HEPCon carries it the last mile — from one link, into one app your members install once and keep, meeting after meeting.
A New App Silo Every Annual Meeting
Confex is built for the scale of a large scholarly-society meeting — thousands of abstracts, dozens of parallel tracks, a review-to-schedule pipeline that just works. The friction lands on the attendee: each year's meeting is its own walled app, with its own login, that members download, learn, and forget by the next edition.
HEPCon reads your Confex meeting app directly — sessions, papers, people, roles, and rooms — and mirrors it into the one app your community already has on their phones. Paste the meeting-app link; nothing is exported, re-keyed, or emailed. Returning members open the app and this year's meeting is simply there: offline-first, searchable offline, with personal schedules and push notifications. Confex stays your system of record for submissions and scheduling; HEPCon is the part attendees hold.
No API project, no export to arrange — the meeting-app link you already share with attendees is all we need. See pricing →

The Division of Labour
What stays inside Confex, and what lands on us.
| You (once per meeting) | Us (continuously) |
|---|---|
| Paste your meeting-app link — any page of it will do | Read the meeting's public API — sessions, papers, people, roles, and rooms — and map them into the app, collapsing Confex's one-row-per-role people into one profile each |
| Tell us the meeting's time zone and send a logo and colours for branding | Brand the event, resolve the wall-clock schedule to venue time, and publish a private preview within 48 hours |
| Nothing — keep editing the programme in Confex as usual | Re-read the meeting on a schedule, compute the delta, and update every attendee device; time-critical changes such as a room move also go out as push notifications |
Total organizer time across a typical meeting: minutes, not hours. That's the point.
Built to Read Confex — Not Just Import It
The structure your programme committee built in Confex arrives intact — the parts generic apps flatten.
Roles, As Your Programme Names Them
Organizer, Co-Organizer, Moderator, Panelist, Presenting Author — every person appears under the heading Confex gives them, in the order Confex sets, on each session and paper. Rename any term for your society from the organizer dashboard.
Mathematics, Rendered
Confex ships formulas as pre-rendered images. HEPCon recovers the LaTeX behind each one and renders it natively in titles and abstracts — crisp at any size, readable offline.
Rooms, Floors, and Withdrawals
Every scheduled session and paper lands in its room, with floor and capacity, ready for venue maps. Withdrawn papers are filtered out; a person listed once per role is merged into one profile.
What the Meeting App Does Not Know
Four things are missing from every Confex export. None blocks the import; each needs one decision from you.
The time zone
Confex records carry wall-clock times with no zone, and the offset on a slot is the one in force when the row was written, so a January meeting can show a summer offset. You give us the venue's zone once and it is treated as authoritative: times render correctly in the venue zone and in each attendee's own.
Email addresses
None are exported, so people are matched by name, and moderator rights in the app are granted deliberately from the organizer dashboard rather than inferred from Confex.
Session colours
Confex has no per-session colour scheme. The app colours the timeline by session type, and a custom scheme can be set from the organizer dashboard if your society uses one.
Gated collections
Roles and rooms come from collections a meeting can restrict. When one is closed the import still completes, with roles derived from per-person flags or sessions left unplaced, and the import report says so, so you can open the collection or send the file.
Three things the preview will show you
A LaTeX document pasted into an abstract. Formulas are handled; a whole preamble is not, on purpose, because a stripper that guesses eats real prose elsewhere. The fix is at the source, in Confex.
Untimed records. A session or paper without a scheduled time cannot sit on a timeline. It is skipped and counted in the import report; give it a slot in Confex and the next re-sync picks it up.
Very large panels. Ten organizers, moderators and panelists above eight talks would push the talks off the screen, so each role group shows its first three people with a "show all" control.
One App the Society Keeps — Not a Yearly Reinstall
The reason a walled per-meeting app never builds a habit is that it resets every edition. HEPCon inverts that: the app is the society's, not the single meeting's, so the audience you spent years growing arrives at the next annual meeting already installed and already familiar. Each edition is a new event inside the same app — not a new download to chase.

Confex + HEPCon, answered
Is there a mobile app for Confex society meetings?
Yes — HEPCon builds your attendee app straight from your Confex meeting-app link. Confex keeps handling submissions and scheduling; HEPCon delivers the on-site experience: offline programme, instant search, personal schedules, and push notifications — inside one app members reuse each edition.
Do you connect to the Confex API?
Yes, read-only. Every Confex meeting app publishes its programme through a public meeting API; HEPCon reads sessions, papers, people, roles, and rooms from it and never writes back. No API project, no credentials on your side. If your meeting's API is closed, send the same records as an export instead.
How fast do programme changes reach attendees?
Keep editing in Confex as usual. HEPCon re-reads the meeting on a schedule and applies the difference to all devices; time-critical changes such as a room move an hour before a session also go out as push notifications through the organizer dashboard.
Do our programme roles survive the import?
Yes. Organizer, Co-Organizer, Moderator, Panelist, Presenting Author and the rest arrive as Confex names them, in Confex's order, and each term can be renamed per event from the organizer dashboard.
Can we see it before committing?
Yes — paste your link on the try-free page and we build a private preview with your real programme within 48 hours, free to evaluate. The go-live decision is due one week before your meeting; no credit card required.
Is HEPCon overkill for a small society symposium?
No — that's what the free tier is for. The same app that carries multi-thousand-paper annual meetings runs a single-track symposium effortlessly, and under 50 contributions it costs nothing.
Not using Confex? HEPCon also works with:
