Project Snapshot
Electronics Engineering Meets Island Connectivity
TWEPP is the annual meeting point for engineers and physicists working on detector electronics, trigger systems, data-acquisition architectures, and radiation-tolerant ASICs for experiments at CERN, DESY, and other facilities. The 2025 edition took place at the Conference Centre of the University of Crete in Rethymno—a stunning seaside setting that came with a practical drawback: mobile connectivity on the venue terrace and in some basement seminar rooms was unreliable.
Offline-First for an Island Venue
HEPCon’s service-worker architecture cached the complete timetable, all abstracts, and speaker information after the initial load. This meant attendees could browse the programme during coffee breaks on the terrace overlooking the Mediterranean, walk into a basement poster room, or ride the hotel shuttle—all without losing access to the schedule. The LOC reported that offline usage spiked during the poster sessions held in a room with particularly weak cellular signal.
Real-Time CERN Indico Sync
TWEPP’s programme was maintained in CERN Indico, and late changes were common as speakers adjusted slides or sessions were reorganised to accommodate last-minute contributions. HEPCon’s two-way sync propagated every Indico update to the mobile and web apps in near-real-time. The LOC never had to manually duplicate a single change—saving an estimated full day of volunteer coordination.
Sponsor Visibility for Industry Partners
TWEPP attracts significant industry sponsorship from ASIC foundries, FPGA vendors, and radiation-test facilities. HEPCon’s sponsor-banner placements and analytics dashboard gave each sponsor verified impression and tap-through data—replacing anecdotal “our logo was on the website” feedback with concrete numbers. Two sponsors told the LOC that the analytics report helped justify their sponsorship renewal internally.
Technical Search for a Technical Audience
TWEPP attendees often search for specific ASIC names, FPGA families, or detector subsystem acronyms. HEPCon’s full-text search indexed every contribution title, abstract, and speaker name, making it trivial to find all talks mentioning “lpGBT” or “Timepix4” across eight parallel tracks.
The Challenge
- • Provide a reliable mobile and web interface for a dense multi-track workshop
- • Ensure real-time synchronisation with CERN Indico
- • Support hundreds of contributions, talks, and posters with minimal organiser workload
- • Deliver measurable sponsor analytics for industry partners
The Solution
Real-time Indico sync with automatic updates, integrated mobile and web interfaces, offline-ready timetable access, advanced search by topic and session, sponsor banners with analytics dashboards, and push notifications for last-minute changes.
The Results
- Offline caching handled weak connectivity in basement poster rooms and outdoor terraces
- Zero manual timetable duplication required despite frequent Indico changes
- Two sponsors used analytics reports to justify internal renewal approvals
- Full-text search for ASIC and FPGA keywords was the third-most-used feature
"HEPCon delivered a seamless experience with real-time Indico synchronisation and intuitive agenda navigation, which helped participants stay on top of a very technical and fast-evolving programme."
