The Mobile & Web App Layer for Your Indico Conference
Keep Indico for submissions and reviews. HEPCon turns its exports into a branded, offline-capable mobile and web agenda.
Turn Your Indico Agenda Into a Usable App
Indico is excellent for call‑for‑papers, reviews, and timetable building. But attendees need something faster and more focused once they arrive on site.
With HEPCon, you export your Indico timetable, upload it once, and receive a branded iOS/Android app plus a desktop‑friendly web agenda. Indico stays your system of record; HEPCon is the presentation layer for humans.
Indico integration is available across all HEPCon solutions. See which solution fits your event →
- Supports tracks, sessions, contributions, abstracts, authors, and rooms
- Handles large physics, engineering, and medical programs without slowing down
- Pushes updates during the conference without manual re‑entry
- Offline‑first data for venues with restrictive or unstable networks
Typical Pain Points with Indico-Based Conferences
- The Indico timetable tree is perfect for conveners, but overwhelming for attendees on a phone screen.
- Confusion between “sessions” and “contributions” once the timetable is exported to external tools.
- Long LaTeX-rich titles and author lists that look fine in Indico but break in generic event apps.
- Parallel tracks scattered across nested categories, making it hard for participants to see “what’s on now”.
- Last-minute timetable changes that stay in Indico but never reach any exported PDFs or mobile tools.
- Attendees needing offline access, while Indico itself remains tied to network quality.
Why HEPCon Works Perfectly with Indico
We treat Indico as the canonical source of truth and specialise in turning its structure into a human-friendly agenda.
Faithful XML Import
We parse the Indico timetable XML, preserving the hierarchy of categories, sessions, contributions, and breaks—then remap it into views that make sense for attendees.
Simplified Navigation
Instead of forcing users through the full Indico tree, HEPCon offers “Today”, “By track”, and “Search” views that hide technical complexity while preserving the underlying data.
Offline-First Agenda
Once the Indico export has been loaded, attendees can browse the entire programme offline. Updates are shipped as small deltas when you re-export the timetable.
How Your Indico Data Becomes an Agenda
Under the hood, HEPCon speaks Indico. We read your timetable export and translate its tree into views that make sense for participants on phones and laptops.
Tracks, Sessions, Contributions
Indico’s separation of tracks, sessions, and contributions is powerful but confusing for non‑organisers. HEPCon:
- Uses tracks primarily for filtering (“Physics / Detector / Computing / Outreach”).
- Surfaces sessions as time blocks (parallel rooms, plenaries, posters).
- Presents contributions as the actual talks or posters attendees select.
Rooms, Breaks, and Materials
Room names from Indico become navigable locations in the app. Coffee breaks and lunches are preserved so people can still see the rhythm of the day. If you link slides or PDFs in Indico, those URLs can be exposed as “materials” buttons in HEPCon where appropriate.
Update Workflow
When you change the timetable in Indico, you generate a new export and upload it to HEPCon. We compute the difference and push a new version to all clients; there is no need to edit the programme twice.
Error Tolerance
If a contribution is missing a room or time in the export, HEPCon flags it in the organiser console so you can fix it at the source in Indico, keeping both systems aligned.
