What HEPCon Adds to Your ConfTool Event

ConfTool is your system for submissions, peer review, and registration. HEPCon is the attendee layer that sits on top of it. Share your ConfTool programme export (CSV or XML) and your conference is published inside the HEPCon app within 1–2 business days. Your ConfTool setup stays untouched.

ConfTool export, no API

CSV or XML from ConfTool's admin panel — sessions, contributions, tracks, rooms, authors, abstracts.

Multilingual semantic search

Find panels across English, French, German, Italian, Spanish — by meaning, not exact keyword.

Delta push updates

Re-export from ConfTool; HEPCon computes the delta and pushes only the change to every device.

Multi-edition speaker continuity

Annual or biennial society events — speakers stay linked across editions via ORCID and email.

No API access required — just a ConfTool programme export. See pricing →

Search Across Languages: Find a Panel by Meaning, Not Words

ConfTool programmes routinely run in English, French, German, Italian, and Spanish — sometimes in the same edition. HEPCon's semantic search indexes abstracts by meaning, so an attendee finds the right session whichever language it was submitted in.

Attendee types

Search:

"identity politics in education"

English query, plain words. No quotation tricks, no Boolean operators, no requirement that the searcher knows what language the abstract was submitted in.

HEPCon returns

Track 3 Tue 14:00 · Salle B
L'enseignement et la construction de l'identité

Camille Rousseau, Sorbonne

Track 3 Wed 11:30 · Aula 4
Bildung, Identität und politische Bewegungen

Lukas Berger, Humboldt

Diacritics intact. Non-Latin scripts survive the pipeline. No keyword overlap required — the abstracts share meaning, not vocabulary.

How HEPCon Turns ConfTool Data Into an Attendee App

We treat your ConfTool export as the canonical source and remap its structure into views designed for participants — not programme administrators.

Clean CSV / XML Import

We parse ConfTool's programme export and map sessions, contributions, tracks, rooms, and author lists into a coherent attendee view — preserving everything your programme committee built, without manual re-entry on your side.

Mobile-First Navigation

Instead of a desktop grid, you give attendees "Today", "By track", "By room", and "Search" views built for small screens. Finding the next session takes seconds — not three taps into a nested table.

Re-import on Change

When the programme changes in ConfTool, export a new file and share it. HEPCon computes the delta, pushes the update to all devices, and can send a push notification for critical changes — all from the organiser dashboard.

ConfTool → HEPCon Mapping

Every ConfTool export field has a clear, attendee-friendly equivalent in HEPCon.

ConfTool concept What attendees get in HEPCon
Sessions (parallel rooms, plenaries, workshops) Time blocks in the day view, filterable by track and room, with "Now playing" indicators when live.
Contributions (papers, talks, posters) Bookmarkable session cards with title, time, room, authors, abstract, and materials links.
Tracks Colour-coded primary filter; attendees scope the timetable to one or more tracks in one tap.
Rooms Navigable locations with optional floor-plan overlays; tapping a session card shows the room.
Abstracts (full text) Surfaced on each contribution's detail screen, semantically indexed for cross-language search.
Authors & affiliations Searchable across the whole programme; each speaker has a person page that follows them across editions.
Programme updates (re-export) HEPCon computes the delta and pushes only the change to attendee devices, with optional push notification for critical moves.
