Enterprise: Flagships, Societies and Private Events

For programmes of 500+ contributions, societies that want their own listing in the stores, and internal events that stay off the public list. From €2,500 per event, excluding VAT, with a dedicated contact and an escalation line during your event.

552 attendees used it at ICHEP 2026, across 952 contributions in 173 sessions · ICHEP (3 editions: Bologna 2022, Prague 2024, Natal 2026)

Three kinds of event, one plan

Enterprise is the plan for events where the programme, the brand or the audience needs more than the standard setup. The app is the same one every HEPCon event runs in.

Flagship conferences

500 or more contributions, many sessions in parallel, posters and sponsors, and a programme that changes until the opening plenary.

ICHEP 2026 ran 952 contributions in 173 sessions, with up to twelve in parallel, synced from CERN Indico through the conference week.

Societies and series

The same app edition after edition. Returning attendees arrive with HEPCon installed and your conference already in their list, and the post-event report shows the change since the previous edition.

Your event's own app in the App Store and Google Play, instead of an event inside HEPCon. Sold with Enterprise, always alongside your event inside the shared app.

Internal and private events

An unlisted event stays off the public list and opens with its code. Submitted papers sit behind one password. Data is hosted in Frankfurt, Germany (Google Cloud, region europe-west3).

Sign-in through your own identity provider, and a private deployment, are built per engagement.

Everything in Core and Pro

  • Offline programme, personal schedule, clash warnings, add to calendar

  • Automatic re-sync from your source; what you add in HEPCon is never overwritten
  • Push alert when a saved talk moves, changes or is cancelled
  • Announcements to all attendees
  • Q&A, speaker polls and ratings
  • Post-event report: usage, saved talks, ratings, Q&A

Only in Enterprise

  • Sponsor visibility with measured taps
  • Detailed analytics dashboards and sponsor-report exports
  • Booth dwell and unique-visitor reports
  • Custom branding
  • Escalation line during your event
  • Support: dedicated contact
The Sponsor ROI table in the HEPCon console: each sponsor with its tier, reach, impressions before, during and after the event, clicks, click-through rate, profile views, booth opens and dwell, leads and its standing against its tier
Enterprise only: the Sponsor ROI table, one row per sponsor with its reach, impressions, clicks, booth visits and leads against its tier, exportable as CSV. Demo event, fictional sponsors. The rest of the console is on the organizer dashboard page.

The full plan table, with Core and Pro beside it, is on the pricing page.

Built for you per engagement

Each of these is scoped with you, built for your event and priced in your quote. None of it is switched on by default.

  • Sign-in through your identity provider. SSO via any OIDC-compliant provider, such as Okta, Azure AD or Google Workspace, is available on request. Access then follows your directory.
  • A private deployment or another data residency. By arrangement, scoped and priced per engagement.
  • Session-level permissions and time-limited material windows. Available on request for events where not everyone may see everything.
  • Extended audit logging. Available on request for governance requirements beyond the programme-change log.
  • CME/CPD attendance recording. On request, attendance is recorded per session and certificates generate from your accreditor's template, with an attendance log export. Accreditation stays with the credentialed provider.
  • A judge-assignment view for poster awards. Available on request, so each judge sees only the posters they score.
  • An importer for a system we don't list yet. Every system exports a spreadsheet, which we read today; a dedicated importer is available on request.
  • Managed Indico hosting. We can also host and maintain an Indico instance for your organization.

Enterprise, answered

What makes a programme Enterprise rather than Pro?

Size, or a need on this page. Programmes of 500 or more contributions are Enterprise. So is a smaller event that needs custom branding, sponsor and booth reports, an escalation line during the event, a private or unlisted setup, or sign-in through its own identity provider.

Can our society have its own app in the App Store and Google Play?

Yes, as the branded store edition, an Enterprise add-on. It always ships alongside your event inside the shared HEPCon app, so returning attendees keep working with the app they already have. Apple and Google review each store listing, which adds time to the schedule; your quote comes with the dates.

Can an internal event stay private?

Yes. An unlisted event does not appear in the public events list and opens only with its code, submitted papers can sit behind a password, and the data is hosted in Frankfurt, Germany (Google Cloud, region europe-west3). Sign-in through your identity provider and a private deployment are built per engagement.

Is there a web version for attendees who don't install apps?

No. HEPCon is the attendee app on iOS and Android; your conference system's pages keep serving the web timetable, and HEPCon is the companion for attendees who want the programme offline, with reminders and push alerts.
