Record Reminder Adoption at the Largest LHCP

LHCP 2024 was held at Boston University, marking the twelfth edition of the series and the largest to date with 800 registrants. Six parallel tracks covered the latest Run-3 results, HL-LHC preparations, and emerging analyses from all four major LHC experiments. The dense programme—over 420 contributions across five days—made personal-schedule management the LOC’s top usability concern.

62% Reminder Opt-In

HEPCon’s reminder feature let attendees set per-session alerts that fired five minutes before each talk. At LHCP 2024, 62% of active users opted in to at least one reminder—the highest rate in the LHCP series. The LOC attributed this to the app’s one-tap reminder toggle: no account creation, no separate settings page, just a bell icon on every session card.

7,400 Session Saves

Across the week, attendees collectively saved 7,400 sessions to their personal favourites—roughly nine per active user. The favourites list doubled as a personal agenda: attendees could switch from the full timetable to a “My Schedule” view showing only their starred sessions, with colour-coded track badges for easy scanning.

Room Maps for a University Campus

Boston University’s campus spread sessions across multiple buildings on Commonwealth Avenue. HEPCon’s room-map overlays pinpointed each session’s exact building and floor, reducing the foot traffic confusion that had plagued the previous year’s LHCP at a similarly spread-out venue.

Track Colour-Coding

Each of the six tracks—Higgs, Electroweak, Top & QCD, Heavy Flavour, BSM, and Future Colliders—was assigned a distinct colour visible in every timetable view and search result. Attendees reported the colour system made cross-track hopping intuitive, especially on the final day when results from multiple experiments were presented back-to-back.

The Challenge

  • Improve session discovery and reminder adoption
  • Keep agenda current with minimal LOC effort
  • Navigate a multi-building university campus
  • Provide colour-coded track identification for six parallel streams

The Solution

HEPCon synced the LHCP 2024 programme from CERN Indico with automatic updates. Integrated reminders, room maps, track colour-coding, and a favourites-based personal agenda gave 800 attendees quick navigation and personal scheduling across a university campus.

The Results

  • 62% reminder opt-in rate—highest in the LHCP series
  • 7,400 session saves (roughly 9 per active user)
  • Room maps reduced campus navigation confusion
  • Colour-coded tracks made cross-track hopping intuitive on all days

"The app made it easy for attendees to track sessions and changes."
