Color-Coded Tracks Meet Calendar Sync at LHCP 2023

LHCP 2023 took place at the University of Belgrade, with 400 physicists convening to discuss the first substantial Run-3 datasets from all four major LHC experiments. Six parallel tracks ran throughout the week, and the poster sessions alone featured over 300 contributions.

Track Color-Coding for Instant Orientation

Each of the six tracks was assigned a distinct colour in HEPCon’s timetable view: Higgs in teal, Electroweak in coral, QCD in amber, and so on. Attendees told the LOC that the colour system let them scan the day’s agenda at a glance and jump between tracks without consulting a map.

Calendar Sync: From App to Personal Schedule

HEPCon’s calendar-sync feature let every attendee export their favourited sessions directly into Google Calendar, Apple Calendar, or Outlook. For LHCP 2023 roughly two-thirds of active users enabled calendar sync, meaning they received native phone reminders five minutes before each session.

Analytics for the LOC

HEPCon’s built-in analytics dashboard showed the Belgrade LOC which tracks drew the most timetable views, which sessions were most favourited, and at what time of day app usage peaked. The data helped the LOC draft its post-event report and informed venue-sizing decisions for future editions.

The Challenge

  • Give the LOC engagement analytics for post-event reporting

The Solution

HEPCon imported the LHCP 2023 programme from CERN Indico with automatic sync. Tracks were colour-coded for at-a-glance orientation, and calendar sync exported favourited sessions to attendees’ personal calendars. The analytics dashboard gave the LOC per-track engagement metrics.

  • Color-coded tracks eliminated the need for a printed pocket programme
  • Two-thirds of active users synced sessions to personal calendars
