A Community That Came Back

GIREP — the international research group on physics teaching — ran its 2025 conference with HEPCon in Leiden. A year later, the community's joint meeting with MPTL (Multimedia in Physics Teaching and Learning) arrived in Rethymno, Crete, and the app came with it. For returning attendees that meant zero onboarding: GIREP MPTL 2026 simply appeared in the events list of an app they already had.

The 2026 programme was substantially larger than the year before: 296 contributions from 295 speakers in 102 sessions, with up to 9 running in parallel across five July days.

Education Research at Conference Scale

Physics-education meetings look like their subject: workshop-heavy, discussion-dense, with symposia and interactive sessions woven between talks. That shows up as many short sessions — 102 of them — rather than a few long ones, which makes a searchable, filterable programme more valuable than a printed grid could ever be.

Synced from CERN Indico, Offline on the Island

The programme lived at indico.cern.ch and HEPCon synced it straight from the event. Rethymno is a seaside university town — the same venue class where offline-first proves itself: the full programme, abstracts included, lived on each device regardless of terrace Wi-Fi.

The Challenge

  • Give a returning community a zero-onboarding second conference in the same app
  • Make a 102-session, workshop-heavy programme searchable and filterable
  • Serve the full programme offline at a seaside venue

The Solution

HEPCon synced GIREP MPTL 2026 from its CERN Indico event and served 296 contributions across 102 sessions offline — with personal schedules spanning up to 9 parallel streams, for a community already carrying the app from its 2025 conference.

The Results

  • 296 contributions and 102 sessions served across five days, up to 9 in parallel
  • Second GIREP-community conference on HEPCon in two consecutive summers — returning attendees started pre-installed
  • Programme synced from CERN Indico with no re-keying by the organisers
