Project Snapshot
Bridging Nuclear and Particle Physics Communities in a Single App
The European Nuclear Physics Conference (EuNPC) is the triennial meeting of Europe’s nuclear-physics community, covering nuclear structure, astrophysics, hadron physics, fundamental symmetries, and applications ranging from medical isotopes to energy. The 2025 edition in Caen, France drew 800 participants—many of whom straddle the boundary between nuclear and particle physics and are familiar with Indico-based workflows.
Automatic Indico Synchronisation
EuNPC’s programme was managed through an Indico instance. HEPCon’s two-way sync ingested the full timetable hierarchy—tracks, sessions, contributions, and posters—and kept it up to date as the LOC made adjustments in the final weeks. After a last-minute plenary reshuffle two days before the conference, every attendee’s app reflected the change within minutes, with zero emails sent by the LOC.
Advanced Filtering for a Broad Scientific Scope
Nuclear physics conferences cover a wider disciplinary range than typical HEP meetings. EuNPC’s six tracks spanned topics as different as quark-gluon plasma and medical isotope production. HEPCon’s advanced search and track filters let attendees focus on their sub-field without scrolling past hundreds of unrelated sessions. Sixty-five percent of users activated at least one filter during the week.
Offline Mode for an International Audience
With participants travelling from across Europe, the Middle East, and Asia, many arrived in Caen with limited mobile data. HEPCon’s offline caching stored the complete programme and all abstracts on first load, ensuring uninterrupted access during transit and in lecture halls with weak connectivity.
Push Notifications for Late Changes
The LOC sent 14 push notifications across the five-day programme—covering room changes, social event updates, and a last-minute plenary addition. The notifications achieved a 45% open rate, significantly above the 25–30% typical of email announcements in academic settings.
The Challenge
- • Deliver reliable access to a multi-track nuclear physics agenda
- • Simplify navigation for a diverse international audience
- • Minimise disruptions from last-minute programme changes
The Solution
Automatic Indico synchronisation ingested the full timetable hierarchy and kept it current. Advanced search and track filters helped attendees navigate six diverse tracks. Offline caching ensured uninterrupted access, and push notifications handled 14 schedule changes across the week with a 45% open rate.
The Results
- Last-minute plenary reshuffle communicated instantly with zero emails
- Advanced filters activated by two-thirds of users across six diverse tracks
- Strong push-notification engagement at 45% open rate
- Improved participant satisfaction over prior EuNPC editions
"HEPCon provided an efficient and modern agenda solution, appreciated by both organisers and attendees."
